01 Scope of this policy

This Privacy Policy explains how Voryn Intelligence ("Voryn", "we", "us" or "our") handles personal information collected through this website, vorynintelligence.com, in responding to enquiries, and in running our business with clients, including billing.

We are committed to protecting personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy does not cover data that a client provides to us, or processes in a system we build, under an engagement. That data is handled under the written agreement for that engagement, in this way:

  • During a build, a read-only copy of the records needed for testing is held on Voryn-controlled hardware in Australia, with access limited to the build team.
  • Build copies are deleted within 30 days of handover.
  • Each new data source is approved by the client and logged before it is used.
  • Client records are never used to train or fine-tune a model and are never placed in a searchable index.
  • Aggregated and de-identified test results may be reviewed using commercial AI tools under their no-training terms.
  • In production, the system runs on the client's own hardware and client data does not leave it.

02 Who we are

Voryn Intelligence is an Australian developer of domain-specific AI systems that run on the client's own hardware. Our details are:

  • Entity: RMM Industries Australia Pty Ltd (ABN 74 163 168 107), trading as Voryn Intelligence
  • Postal address: PO Box 101, Christies Beach SA 5165, Australia
  • Privacy enquiries: [email protected]

03 Information we collect

We collect only the personal information reasonably necessary for our functions and activities. This typically includes:

  • Contact details you give us through our enquiry form or by email, such as your name, role, organisation, work email and phone number.
  • What you tell us about the work: your answers to the enquiry form (such as the task, volumes, where your records are kept and your constraints) and anything you write to us by email.
  • Client contact and billing details, such as the name, email and postal address of the person we invoice.
  • Technical data: your IP address and the details your browser sends with each request (such as browser type and the page requested), recorded in our web server logs.
  • Website chat: what you type or say to the chat on this website, and its replies. AI assistants can also use the chat on someone’s behalf. If you talk to it, your recording is turned into text and then discarded; we keep the text, not the audio. If you ask us to get in touch, we also keep the name, email address and other details you choose to give, and email them to our team. To stop misuse, we keep the page you were on, your browser type, and a one-way hash made from your IP address and browser; we don’t store the IP address itself.

Please do not send confidential business records, client files, or personal information about other people through this website. The enquiry form and the website chat are only for starting a conversation.

04 How we collect it

We collect personal information directly from you when you complete our enquiry form, use the website chat, email us, or otherwise deal with us. Technical data is recorded automatically in our web server logs. We do not use analytics or advertising tools on this website.

05 Why we collect and use it

We use personal information to:

  • respond to your enquiry and discuss a possible engagement;
  • deliver, invoice and support an engagement;
  • communicate with you about our work, where you have asked us to or where permitted by law;
  • answer your questions in the website chat and follow up enquiries you send through it;
  • operate and secure this website, including limiting abuse of the enquiry form and the chat; and
  • comply with our legal and regulatory obligations.

We will only use your information for the purpose for which it was provided, a directly related purpose you would reasonably expect, or as otherwise permitted or required by law. We do not sell personal information.

06 Disclosure of information

We may disclose personal information to:

  • our personnel who need it to respond to you or deliver our work;
  • service providers who support our operations, such as email delivery, email hosting, website protection and AI services, under confidentiality obligations (see section 10);
  • professional advisers, where reasonably required; and
  • regulators, courts or others where required or authorised by law.

We require our service providers to handle personal information consistently with this policy and the APPs.

07 Storage and retention

Enquiries submitted through this website are stored on our own server in Australia and deleted automatically after 180 days. A copy is delivered to our email, which is hosted overseas (see section 10), and is kept as a business record for as long as it is needed.

Website chat conversations, and enquiries sent through the chat, are stored on the same server and deleted automatically 180 days after the last message. To limit abuse of the enquiry form we keep a one-way hash of the sender's IP address for no more than one day. Web server logs are kept for a limited period for security and troubleshooting. Billing records are kept for as long as the law requires.

08 Security

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These measures include encryption in transit, access controls and logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We destroy or de-identify personal information when it is no longer needed for any purpose for which it may be used or disclosed, unless we are required by law to keep it.

09 Cookies

This site sets no tracking, analytics or advertising cookies. If you use the website chat, your browser keeps that conversation in its session storage so it survives moving between pages; it is cleared when you close the tab. Cloudflare, which protects the site, may set a strictly necessary security cookie when it checks traffic for abuse. That cookie is used only to protect the site. We do not sell or share information collected through it. You can set your browser to refuse cookies, though Cloudflare may then ask you to complete a check before the site loads.

10 Overseas disclosure

We use a small number of service providers who hold or process personal information outside Australia:

  • Email delivery: Resend, in the United States, sends our outgoing email, including a copy of each website enquiry and our invoices.
  • Email hosting: our mailboxes are hosted by Migadu, a Swiss company whose servers are in France. Enquiries and correspondence you send us are stored there.
  • Website protection: Cloudflare may process technical data, such as IP addresses, in the countries where its network operates.
  • Website chat: the chat’s replies are written by Anthropic, and spoken questions are turned into text and replies read aloud by xAI, both in the United States. They receive the text of the conversation (and, for voice, the audio of what you say). Anthropic does not use it to train its models. This is separate from the systems we build for clients, which run on the client’s own hardware.
  • AI services: when we provide AI-assisted audit, marketing and content services, material a client gives us may be processed by AI providers, including language model and image and video generation services such as Higgsfield, which operate mainly in the United States. Some of these providers may use submitted content to improve their models under their own terms. We do not send a client’s material to such a provider unless the client has agreed.

We take reasonable steps to ensure these providers handle personal information consistently with the Australian Privacy Principles. We do not otherwise disclose personal information overseas.

11 Access and correction

You may ask for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading, consistent with APP 12 and APP 13. To make a request, contact us using the details below. We will respond within a reasonable period and may need to verify your identity. There is no charge for making a request, though a reasonable charge may apply for providing access in some circumstances.

12 Complaints

If you believe we have breached the Australian Privacy Principles, please contact us first so we can investigate and respond, ordinarily within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.

13 Changes to this policy

We may update this Privacy Policy from time to time. The current version will always be available on this website, with the "last updated" date shown above. Material changes will be highlighted where appropriate.
